Legal Bases

We collect and process your personal data exclusively on a legal basis, in particular on the basis of the General Data Protection Regulation of the European Union (GDPR), the German Federal Data Protection Act (Bundesdatenschutzgesetz – BDSG), and the German Telecommunications and Digital Services Data Protection Act (Telekommunikation-Digitale-Dienste-Datenschutz-Gesetz – TDDDG).

If we obtain your consent for processing operations for specific processing purposes, the legal basis for the processing is Art. 6 para. 1 lit. a) GDPR.

If we need your personal data in order to process contractual or pre-contractual relationships with you as the data subject (e.g. delivery of goods, provision of services), the processing is carried out on the basis of Art. 6 para. 1 lit. b) GDPR. This also applies to directly related processes such as the processing of inquiries about our products, services or prices.

If we process your personal data due to legal obligations (e.g. § 257 HGB, § 147 AO), this is done on the basis of Art. 6 para. 1 lit. c) GDPR.

In the event that we need your personal data in order to protect your vital interests or those of another natural person, the processing is carried out on the basis of Art. 6 para. 1 lit. d) GDPR.

Irrespective of the aforementioned legal bases, we process your personal data on the basis of Art. 6 para. 1 lit. f) GDPR, if the processing is necessary for the purposes of the legitimate interests pursued by us or by a third party, except where such interests are overridden by your interests or fundamental rights and freedoms. The legitimate interests pursued in each case are specified in connection with the specific processing.

The storage of information on your terminal device (e.g. cookies, local storage) or access to information already stored there is permitted only under the conditions set out in Section 25 of the Telecommunications and Digital Services Data Protection Act (TDDDG) (consent or narrowly defined statutory exceptions). This applies irrespective of whether personal data is processed; where personal data is subsequently processed, the requirements of the GDPR must also be complied with.

     

    Collection of General Data

    When you use our website, data transmitted to us by your browser will be processed and stored on our server. These data are necessary to provide the content and services of our website and are used to correctly display the website and to ensure security and stability. The legal basis is such legitimate interest pursuant to Art. 6 para. 1 lit. f) GDPR. Usually, the data concerned are the following:

    These data are not used by us to establish a connection to you. If personal references exist, the data is automatically deleted after 14 days at the latest unless there is any other legal reason that would require a longer storage.

    In addition, all other personal data that you deliberately provide to us in the context of using our website (e.g. contact requests, login information, uploads) will be processed by us for a specific purpose.

    If we wish to use contracted service providers for single components of our offer or use your data for any other purposes, we will inform you below or through the provider about the respective processes.     These are used to improve the interactivity of our website with other services (e.g. social networks) and to process your enquiries.

      Transient cookies are automatically deleted when you close your browser or log out. These are in particular session cookies.     The legal basis for cookies that are absolutely necessary for providing you with the expressly requested service is § 25 para. 2 no. 2 TDDDG (= German Telecommunications Digital Services Data Protection Act).     The use of cookies and comparable technologies that are not technically necessary takes place exclusively on the basis of your prior active consent via a consent management tool. Your consents are documented and may be withdrawn or modified at any time with effect for the future.

    You can also prevent or switch off the use of cookies at any time by choosing the appropriate settings for the Internet browser used.     E-Mail / Contact Form

    If you contact us by email or using the contact form, the data you provide (e.g. title, surname and first name, address, company, email address and the time of transmission) will be processed by us in order to process your message. If storage is no longer required, we will delete the transmitted data or restrict processing. This is dependent on statutory retention obligations. The legal basis is Art. 6 para. 1 lit. b) GDPR, provided that the processing of the request is carried out in accordance with the order or within the framework of a contract, otherwise Art. 6 para. 1 lit. f) GDPR.

     

    Newsletter

    If you register for our newsletter, the data you provide will be used exclusively for this purpose. For an effective registration you need a valid e-mail address. In order to ensure that the registration is actually carried out by you, we will at first send an e-mail to the indicated e-mail address after registration, asking you to confirm the registration. By confirming the registration you inform us that you agree to the registration (so-called double opt-in procedure). We log your registration for the newsletter, the sending of the confirmation e-mail and the receipt of your confirmation.

    We would like to point out that we evaluate your user behaviour when sending the newsletter. For this evaluation, the e-mails sent contain so-called web beacons or tracking pixels, which are single-pixel image files that are stored on our website. For the evaluations, we link the aforementioned data and the web beacons with your e-mail address and an individual ID. Links contained in the newsletter also contain this ID. The data is only collected pseudonymously, i.e. the IDs are not linked to your other personal data, a direct personal reference is excluded.

    You can at any time terminate your subscription to the newsletter and revoke your consent to the storage of data stored for sending the newsletter. For this purpose, there is a corresponding link in every newsletter. You can also unsubscribe directly via our website or by contacting us via the aforementioned contact methods.

    Insofar as user behavior is evaluated, this is done exclusively on the basis of your express consent in accordance with Art. 6 para. 1 lit. a) GDPR.

     

    Client Login

    You have the option to log in to the protected client area of our website using your personal access credentials.

    As part of the login process, the data you enter into the input forms (in particular username or email address and password) are processed. The processing is carried out for the purpose of authentication, providing access to the protected client area, and ensuring system security.

    The legal basis for the processing is Art. 6 para. 1 lit. b GDPR, insofar as the processing is necessary for the execution of the mandate agreement or pre-contractual measures, as well as Art. 6 para. 1 lit. f GDPR with regard to ensuring IT security and preventing misuse. Our legitimate interest lies in ensuring the functionality and security of our information technology systems. If you also provide us with data voluntarily and on the basis of consent in accordance with Art. 6 para. 1 lit. a GDPR in the context of using the client area, the processing is carried out exclusively for the purpose of providing the content or services requested by you.

    In connection with the login, log data such as the IP address of the accessing device, date and time of access, pages or functions accessed, and status messages (e.g. successful or failed login attempts) are also processed and stored in log files. Storage is carried out for security reasons, in particular to detect, limit, and investigate misuse or fraud attempts and to ensure system stability.

    Login data are stored for the duration of the mandate relationship. Log file data are generally stored only for as long as necessary to achieve the aforementioned purposes, unless further statutory retention obligations apply.

    Your personal data will only be disclosed to third parties insofar as this is necessary for the provision and technical operation of the client login. For this purpose, we may engage external IT service providers or hosting providers as processors pursuant to Art. 28 GDPR. These processors are contractually obliged to process your data solely in accordance with our instructions and in compliance with the applicable data protection regulations.

     

    YouTube

    We use embedded YouTube videos on our website. YouTube is a service of Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland, (“YouTube”). When you visit a page with an embedded YouTube video, a connection to YouTube servers is established. We prefer to embed videos in a data protection-friendly version and only upload them after you have given your consent in accordance with Art. 6 para. 1 lit. a) GDPR.

    This tells YouTube which pages you visit. If you are logged into your YouTube account, YouTube can also assign this data to you personally. You can prevent this by logging out of your YouTube account beforehand. When a video is started, YouTube collects data about your user behavior with the help of cookies (see above under “Cookies”). You can prevent this by blocking the storage of cookies in your internet browser.     Vimeo

    We use embedded videos provided by Vimeo on our website. Vimeo is a service of Vimeo.com, Inc., 330 West 34th Street, 5th Floor, New York 10001, USA (“Vimeo”). When you visit a page containing an embedded Vimeo video, a connection to Vimeo’s servers is generally established. We integrate Vimeo videos in a privacy-friendly mode where possible and only load them after you have given your consent pursuant to Art. 6(1)(a) GDPR.

    Through the integration, Vimeo receives information about which of our pages you visit. If you are logged into your Vimeo account, Vimeo may associate this information with your personal user account. You can prevent this by logging out of your Vimeo account before visiting our website.

    When a video is started, Vimeo may use cookies and similar technologies (see above under “Cookies”) to collect information about your user behavior. This may include, in particular, technical information about your end device, your IP address, the date and time of access and information about your usage behavior. The processing takes place on the basis of your consent in accordance with Art. 6 para. 1 lit. a) GDPR.

    Social Media

    We do not collect any personal data ourselves via the social plugins shown or due to their use, as we use links or 2-click solutions. The legal basis is your consent in accordance with Art. 6 para. 1 lit. a) GDPR. This prevents data from being transmitted to the service providers without the user’s knowledge. Such a transfer only takes place once the link has been used and a registration in the user profile has been carried out. A connection to the respective platform is then established. Data can then be transferred to the service provider and stored there in order to link interests and offers. The following providers are available:

    Duration of Processing and Deletion

    Your data will only be processed for as long as it is necessary for achieving the above-mentioned processing purposes; for this purpose, the legal bases indicated in the context of the processing purposes apply accordingly.

    We delete or block personal data in accordance with the legal requirements after the expiry of one of the periods described above and, if no period is specified, as soon as the data concerned is no longer required for the purposes mentioned herein or otherwise justified or a legally prescribed storage period expires.

     

    Data Transmission

    We only pass on your personal data to third parties if:

    • You have given your express consent to this in accordance with Art. 6 para. 1 lit. a) GDPR have granted,
    • this is legally permissible and in accordance with Art. 6 para. 1 lit. b) GDPR is necessary for the fulfillment of a contractual relationship with you or the implementation of pre-contractual measures,
    • pursuant to Art. 6 para. 1 lit. c) GDPR there is a legal obligation for the transfer,
    • we are required by law to transmit data to state authorities, e.g. tax authorities, social insurance agencies, health insurance companies, supervisory authorities and law enforcement agencies,
    • the disclosure pursuant to Art. 6 para. 1 lit. f) GDPR is necessary for the purposes of the legitimate interests pursued by the company or for the establishment, exercise or defense of legal claims and there is no reason to assume that you have an overriding legitimate interest in the non-disclosure of your data,
    • in accordance with Art. 28 GDPR, we use external service providers, so-called contract processors, who are obliged to handle your data with due care.

    Insofar as personal data are transferred to third countries, in particular to the United States, such transfer is carried out on the basis of appropriate safeguards within the meaning of Articles 44 et seq. GDPR. Where the respective provider is certified under the EU-U.S. Data Privacy Framework, the transfer takes place on the basis of the corresponding adequacy decision of the European Commission.

    We only transmit personal data to third countries with respect to which the EU Commission has confirmed an adequate level of protection, or if we ensure the careful handling of personal data by means of contractual agreements or other suitable guarantees.

    Processed data

    We process your personal data such as name, address, telephone number and e-mail address as well as other communication content for the purpose of holding the event as well as your name and any photo we may take for external presentation and internal documentation. In particular, this may include photos taken by us during the event for public relations purposes and subsequently published.

    This also includes data provided to us for further use by you or an authorised party for the performance of a contract or on the basis of a legal obligation, legitimate interests or consent.

    Special categories of personal data might also be processed, insofar as these are presented by the data subject, such as racial and ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, genetic data, biometric data, health data or data relating to the sex life or sexual orientation of a natural person.

    Data processing is carried out for the purpose of contract processing in accordance with. Art. 6 para. 1 lit. b) GDPR, to fulfill a legal obligation pursuant to Art. Art. 6 para. 1 lit c) GDPR or for the purposes of the legitimate interests pursued by the controller or by a third party pursuant to Art. Art. 6 para. 1 lit f) GDPR, unless express consent has been given in accordance with Art. Art. 6 para. 1 lit. a) GDPR exists.

     

    Recipient of the data

    The data is processed by employees of the controller. Exceptionally, processors commissioned by us will receive your data if this is necessary to fulfill the task. Data is only transferred to third countries after an appropriate level of data protection has been guaranteed.
